Employment Policy


1. Introduction

Melan is committed to fostering a professional, inclusive, and productive work environment. This Employment Policy outlines the expectations, rights, and responsibilities of employees and the company. It is designed to ensure compliance with applicable federal and state laws and to promote a workplace built on mutual respect, integrity, and collaboration.

This policy is not an employment contract. Nothing in this document creates a contractual obligation between Melan and its employees. Employment at Melan is at-will, as described below.

2. At-Will Employment

Employment at Melan is at-will. This means that either you or Melan may terminate the employment relationship at any time, for any lawful reason, with or without cause or advance notice.

Exceptions to At-Will Employment. At-will employment does not permit termination for reasons that violate federal, state, or local law. Melan prohibits discrimination and retaliation in all employment decisions, including termination. The following are protected by law and cannot serve as a basis for termination:

  • Race, color, religion, sex, sexual orientation, gender identity, national origin, age, disability, or genetic information (protected under Title VII, ADEA, ADA, and similar state laws).
  • Engaging in protected activity, such as reporting workplace discrimination, harassment, or safety violations.
  • Exercising rights under the Family and Medical Leave Act (FMLA), workers’ compensation laws, or other applicable leave laws.
  • Refusing to engage in illegal activity at the direction of the employer.

4. Anti-Harassment Policy

Melan prohibits all forms of harassment, discrimination, and retaliation in the workplace. This includes harassment based on race, color, religion, sex, sexual orientation, gender identity, national origin, age, disability, or any other protected characteristic.

Harassment includes, but is not limited to: slurs, jokes, epithets, intimidation, offensive images, unwelcome advances, and any other verbal or physical conduct that creates a hostile work environment. All employees are expected to maintain a professional and respectful workplace.

Reporting. If you experience or witness any conduct that may violate this policy, report it immediately to your manager or Human Resources. Melan will investigate all reports promptly, thoroughly, and confidentially to the extent possible. Retaliation against anyone who reports a concern or participates in an investigation is strictly prohibited.

5. Workplace Conduct

5.1 Attendance and Punctuality

Employees are expected to arrive on time and be present for all scheduled work hours. Excessive absenteeism or tardiness may result in disciplinary action, up to and including termination. Employees must notify their manager as soon as possible when unable to report to work.

5.2 Dress Code

Employees are expected to dress professionally and appropriately for their role and work environment. Specific dress code requirements may vary by department or position. Managers will communicate any role-specific expectations.

5.3 Workplace Safety

Melan is committed to providing a safe and healthy work environment. Employees must comply with all safety policies, procedures, and regulations. Report any unsafe conditions, injuries, or near-misses to your manager or Human Resources immediately.

Workplace violence of any kind — including threats, physical altercations, or intimidation — is strictly prohibited and will result in immediate disciplinary action.

5.4 Professional Conduct

Employees are expected to interact with colleagues, clients, and partners professionally and respectfully. This includes maintaining confidentiality of proprietary and sensitive information, avoiding conflicts of interest, and adhering to Melan’s ethical standards.

6. Compensation and Benefits

6.1 Pay and Paydays

Employees are paid in accordance with their position’s salary or hourly rate. Payroll is processed on a regular schedule as communicated by Human Resources. Employees are responsible for reviewing their pay statements and reporting any discrepancies promptly.

6.2 Overtime

Non-exempt employees are eligible for overtime pay as required by the Fair Labor Standards Act (FLSA) and applicable state law. Overtime must be pre-approved by your manager. Exempt employees are not eligible for overtime and are expected to work the hours necessary to fulfill their job responsibilities.

6.3 Health Insurance

Melan offers health insurance benefits to eligible employees. Details regarding plan options, enrollment periods, and coverage are provided during onboarding and through the benefits administration portal.

6.4 Time Off

Melan provides eligible employees with paid time off (PTO), sick leave, and holidays as outlined in the benefits package. Unused PTO is subject to the company’s carryover and payout policies. Employees must request time off in advance through the designated process and receive manager approval.

7. Technology Use Policy

7.1 Company Equipment

Company-provided computers, phones, and other equipment are intended for business use. Limited personal use is permitted but should not interfere with job responsibilities. All company equipment remains the property of Melan and is subject to monitoring and inspection as permitted by law.

7.2 Email and Communication

Email and other communication systems are company resources. Employees are expected to use professional language and exercise good judgment when communicating internally and externally. Melan reserves the right to monitor company communication systems for compliance with policies and applicable law.

7.3 Internet and Social Media

Employees may use the internet for work-related purposes. Personal use should be limited and must not interfere with productivity or violate any policy. When using social media, employees must not disclose confidential company information, represent personal opinions as those of Melan, or engage in harassing or discriminatory conduct.

8. Background Check Authorization

To support a safe and trustworthy workplace, Melan reserves the right to conduct background checks on applicants and employees as permitted by applicable law. Background checks may include, but are not limited to: criminal history, employment verification, education verification, professional license verification, and reference checks.

Background checks are conducted in compliance with the Fair Credit Reporting Act (FCRA) and applicable state laws. A background check will not automatically disqualify an applicant. Melan considers the nature, relevance, and recency of any findings in relation to the position. Candidates will be given an opportunity to explain any adverse information before a final decision is made.

9. Truthfulness and Certification

All information provided during the application process — including in the application form, resume, cover letter, interviews, and any supporting documents — must be true, accurate, and complete to the best of your knowledge. Melan relies on this information when making hiring decisions.

Providing false, misleading, or incomplete information may result in disqualification from consideration or, if discovered after hire, disciplinary action up to and including termination. This includes the omission of material facts that would reasonably affect a hiring decision.

10. Policy Updates

Melan reserves the right to modify, amend, or revoke this Employment Policy at any time, with or without notice, as business needs and legal requirements evolve. Employees will be notified of material changes through company communication channels. Continued employment after a policy update constitutes acceptance of the revised terms.

11. Employee Acknowledgement

By signing the employment application, you acknowledge that you have read, understood, and agree to the policies described in this document. You understand that:

  • Your employment with Melan is at-will and may be terminated by either party at any time, with or without cause or advance notice.
  • This policy document is not an employment contract and does not create contractual obligations.
  • All information you provide during the application process must be truthful and complete.
  • Melan may verify your credentials and conduct a background check as permitted by applicable law.
  • Melan may modify these policies at its discretion as business and legal circumstances require.
